The problem
Fudeat’s “offline” team (4–5 people) was stuck in a fully manual flow: calls and emails, summaries in Excel, supplier hunts, quotes in every format imaginable, reformatting into their own template, client sends, and a waterfall of changes right up to the day of the event.
The cost was visible everywhere — information scattered across inboxes, follow-up that slipped, response times measured in hours not minutes, lost opportunities, and an operation that simply could not scale past the people in the room.
What we built
A custom ERP that replaces the Excel and wires the commercial channel into the rest of Fudeat’s systems. Everything — events, conversations, suppliers, quote versions, changes — lives in one place, centralised, structured and traceable.
The “wow” layer is AI. Client messages and supplier quotes (whatever format they arrive in) are parsed automatically, normalised, and left ready for human validation. The team reviews and confirms; the order is created and pushed into downstream systems end-to-end.
Technologies: workflow automation + system integrations, intelligent document extraction (OCR), NLP/LLMs for email and quote interpretation, and a unified data model that enables real-time reporting and operational control.
Results
- Administrative time per event down 60–75%
- Initial response time compressed from hours to minutes
- Capacity to handle ~5× more events with the same team — by removing copy-paste, rekeying, and lost follow-ups
- A single source of truth for every event, supplier, quote version, and client change
